Hollow Bot Privacy Policy

This Privacy Policy explains how Hollow.cx (“Hollow,” “we,” “us,” or “our”) collects, uses, stores, and shares information when you authorize or use Hollow Bot (the “Bot”) on Discord.
This policy applies to the Bot and its role-assignment integration. Separate Hollow.cx website, software, purchase, or payment services may be covered by additional policies presented when you use those services.
1. Information We Process
Information received from Discord
When you authorize or interact with the Bot, Discord may provide information necessary to identify your account and operate the role system, including:
- Your Discord user ID;
- Your Discord username or display name;
- Your Discord avatar, if made available through the authorization process;
- The Discord server ID for the Hollow server; and
- The customer role assigned to your Discord account.
The Bot does not use Discord message content to perform its role-assignment function, and Hollow does not intentionally collect or store the contents of your direct messages or server messages through the Bot.
Purchase and entitlement information
To determine whether you qualify for a customer role, we may process:
- Confirmation that an eligible Hollow.cx software purchase was completed;
- The product or software associated with the purchase;
- An order, customer, or entitlement identifier; and
- The status of that entitlement, such as active, refunded, reversed, expired, or revoked.
The Bot does not collect or store full payment-card numbers, bank-account credentials, or payment account passwords. Payments are handled through Hollow.cx and its payment providers. Those services may process additional transaction information under their own privacy policies.
Technical and security information
We may collect limited logs needed to operate, secure, and troubleshoot the Bot, such as authorization events, role-assignment results, timestamps, error messages, and suspected abuse or security events.
2. How We Use Information
We use information to:
- Connect an eligible software purchase to the correct Discord account;
- Assign, maintain, update, or remove product-specific customer roles;
- Provide access to the appropriate customer-only Discord channels;
- Confirm eligibility when a payment, refund, dispute, or license status changes;
- Prevent fraud, unauthorized sharing, role bypassing, and abuse;
- Maintain, troubleshoot, and improve the Bot;
- Respond to support, privacy, and security requests; and
- Comply with applicable law and enforce our Terms of Service.
We do not sell personal information. We do not use information obtained through the Bot for targeted advertising.
3. Legal Bases
Where applicable law requires a legal basis, we process information:
- To provide the Bot and role-access service you request;
- To perform or take steps related to a purchase or software entitlement;
- For legitimate interests such as security, fraud prevention, support, and service improvement;
- With your consent when you authorize the Discord connection; and
- To comply with legal obligations.
4. How We Share Information
We may share limited information with:
- Discord: to authenticate your account and assign or manage roles;
- Service providers: such as hosting, database, monitoring, security, customer-support, and order-processing providers that help us operate the Bot;
- Payment and commerce providers: when needed to confirm an entitlement, refund, reversal, dispute, or fraud concern;
- Legal and safety recipients: when reasonably necessary to comply with law, enforce our rights, protect users, investigate abuse, or respond to valid legal process; and
- Business successors: in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate protections.
We limit sharing to information reasonably necessary for the relevant purpose. Service providers are expected to process information only on our behalf and under appropriate confidentiality and security obligations.
5. Data Retention
We retain Discord identifiers, role records, and entitlement records only for as long as reasonably necessary to provide customer access, maintain purchase and licensing records, prevent fraud, resolve disputes, enforce agreements, and comply with legal obligations.
If your entitlement ends or you request deletion, we will delete or de-identify Bot-related personal information within a reasonable period unless retention is required for legal, accounting, security, fraud-prevention, or dispute-resolution purposes. Backup copies may remain temporarily until they are overwritten through normal backup cycles.
Removing the Bot, leaving the Discord server, or revoking Discord authorization may stop future access, but it may not automatically delete records already retained by Hollow. You can request deletion using the contact information below.
6. Your Choices and Privacy Rights
Depending on where you live, you may have rights to:
- Request access to the personal information we hold about you;
- Request correction of inaccurate information;
- Request deletion of eligible information;
- Object to or restrict certain processing;
- Withdraw consent where processing is based on consent; and
- Receive a portable copy of certain information.
To make a request, email support@hollow.cx and include your Discord user ID and enough information for us to verify the request. Do not send your Discord password, payment password, full payment-card number, private key, or recovery phrase.
You may also manage authorized applications through your Discord account settings. Revoking authorization may prevent the Bot from verifying or maintaining your role.
We will not discriminate against you for exercising applicable privacy rights.
7. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No internet service or storage system is completely secure, so we cannot guarantee absolute security.
If you believe your information or linked Discord account has been compromised, contact us promptly and secure your Discord account.
8. Children’s Privacy
Hollow Bot is not intended for children under 13 or anyone below the minimum age required to use Discord in their country. We do not knowingly collect personal information from children who are not permitted to use Discord. If you believe an ineligible child provided information through the Bot, contact us so we can investigate and delete it where required.
9. International Processing
Information may be processed in the United States or other countries where Hollow or its service providers operate. Those countries may have different data-protection laws from your country. Where required, we use appropriate safeguards for international transfers.
10. Third-Party Services
Discord, Hollow.cx payment providers, and other third-party services have their own privacy practices. This Privacy Policy does not control information those parties collect for their own purposes. Review their policies before using their services.
11. Changes to This Policy
We may update this Privacy Policy as the Bot, our data practices, or legal requirements change. We will update the “Last updated” date when a revised policy is posted. Material changes may also be announced through Hollow.cx or the Hollow Discord server.
